How to automate Instagram DMs and story replies for a business
To automate Instagram DMs is to have your business answer direct messages and replies to its stories the moment they arrive, through a tool connected to the account via Meta’s official API. Meta allows it for professional Instagram accounts, as long as the customer starts the conversation and the reply reaches them within 24 hours of their last message.
This article covers the rules as Meta publishes them, the kinds of messages a business account receives, how to write automated replies that save the customer time instead of putting them off, and what the Mujib agent does in each case.
What does Meta allow when you automate Instagram messages?
Section titled “What does Meta allow when you automate Instagram messages?”Meta lets a tool connected to your account answer customers’ messages, but not start a conversation with someone who never wrote to the account. These are the core rules from the Instagram messaging API docs:
- The customer starts: nothing can be sent until an Instagram user has messaged the professional account, whether directly, as a reply to a story, or after mentioning the account in their own story.
- The standard window: a reply has what Meta calls the standard messaging window, which lasts 24 hours for most user actions. Every new message from the customer opens it again.
- The human agent window: a reply can be tagged to use a separate seven-day window, which the Messenger Platform policy describes as being for staff responding manually, not for automation.
- After the window: no reply is accepted until the customer writes again.
These are Meta’s own rules, and every tool on the official API follows them. So good automation rests on one simple idea: the customer gets their answer or their booking while they are still talking to you, not a day later.
What does an Instagram account need before you automate its DMs?
Section titled “What does an Instagram account need before you automate its DMs?”You need a professional Instagram account, and its owner must allow connected tools to access its messages.
- A professional account: the messaging API is for professional accounts, so a personal account cannot be connected.
- A linked Facebook Page: when the connection goes through Facebook Login, Meta’s Instagram messaging getting-started guide requires the professional account to be linked to a Facebook Page.
- Allow access to messages: the same guide asks you to turn on Allow Access to Messages under Settings, Messages and story replies, Message controls, Connected tools. Labels can differ with the app’s language and version.
Which kinds of messages reach a business account on Instagram?
Section titled “Which kinds of messages reach a business account on Instagram?”Not every message arrives as plain text: some reply to a story you posted, some mention your account in the customer’s own story, and some share a post or a reel with you. Meta’s Instagram webhook examples show that a story reply arrives with the story’s URL and ID, and that a story mention arrives as an attachment of type story_mention.
| Kind of message | What arrives | What a good reply needs |
|---|---|---|
| Direct message | Text or an attachment the customer sent | A direct answer from current information |
| Reply to your story | The customer’s message tied to the story | To read “how much?” as a question about the story |
| Mention in a story | The customer’s story as a special attachment | A short thank-you, no image analysis, no sales pitch |
| Shared post or reel | The post the customer sent | To know which service or product they mean |
Comments on your posts are not direct messages, and Meta has other rules for them. They are covered in Comment automation.
How do you write a good automated reply on Instagram?
Section titled “How do you write a good automated reply on Instagram?”A good reply answers the customer’s actual question in a short message, from information that is correct today, and leaves them a clear next step. These principles hold whether you write the replies yourself or leave them to an AI agent:
- Answer first, then ask. Someone who asked for the price wants the price, not a request for their name before the answer.
- One question per message. Three questions in a row read like a form, and many customers stop there.
- One source for prices and hours. An automated reply repeats what it was given, so an old price in one place shows up old in every conversation. See Write a knowledge base for an AI agent.
- Do not assume the tool sees the story. If the customer did not say what they are asking about, it is better to ask them politely than to guess.
- In your account’s own voice. If your account writes in a friendly dialect, a stiff formal reply sounds like another business.
- Decide when a person takes over. A complaint, a request for a special discount, and a question your information cannot answer all go to a person, with an alert.
| Weak reply | Better reply |
|---|---|
| “Hi! How can we help?” in answer to “how much?” under a story | Gives the price and length of the service in the story, then asks: “Would you like me to book you a slot?” |
| “Contact us for details” | Gives the details that exist, and hands over what does not |
| A long message listing every service | An answer about the one service they asked about |
How does the Mujib agent answer Instagram messages?
Section titled “How does the Mujib agent answer Instagram messages?”The Mujib agent answers direct messages and story replies on your business account, only from your business’s information, once you connect the account through the Facebook Page it is linked to. You connect it on the Channels page; the steps are in Connect Instagram and Messenger.
- Story replies: the agent knows the message replies to your story, so “how much?” is not a question about nothing, but it does not see the story’s image. In Inbox you see a Replying to your story card above the message.
- Story mentions: the agent knows the customer mentioned your account in their story, and does not analyze the image.
- Shared posts: the agent reads the text that came with the shared post to understand what the customer means.
- Messages from ads: the agent reads the title of the ad the customer came from; see Ads and stories.
- Per-channel switch: in the Replies & agent strip on the Instagram card you can turn off Auto-reply for Instagram alone, so its messages reach the inbox and your team answers them.
- Your reply pauses it: when you answer a customer from the Instagram app or from the dashboard, the agent stops in that conversation only. See Reply from your phone.
When the answer is not in your information, or the customer asks for a person, the agent hands the conversation to your team and sends you an alert, as described in Human handoff. Whether the Instagram channel is available depends on your subscription.
What happens to a conversation after 24 hours?
Section titled “What happens to a conversation after 24 hours?”Once 24 hours have passed since the customer’s last message, Meta no longer accepts a standard reply. Its policy keeps a human agent window for manual replies only, but that window is not available in Mujib, so replies from the agent and from your team stop until the customer writes again. An honest tool does not try to get around that with a promotion or an automated reminder.
- In Mujib, the reply box in the conversation tells you when Meta does not allow a reply, so you do not write a message it would refuse.
- If the customer writes again, the window reopens and the agent or your team can answer.
- The best prevention is to finish inside the window: the customer gets their answer or booking before they close the app.
See The 24-hour window.
What are the common mistakes when automating Instagram DMs?
Section titled “What are the common mistakes when automating Instagram DMs?”The most common mistake is treating automation as a fixed welcome message rather than an answer to a question.
- One welcome message for everything: rule-based auto-reply systems send the same sentence to everyone who writes, so the customer repeats the question or leaves.
- Prices in several places: one price in a story caption, another in an old file, a third in the tool’s information. Keep a single source for prices.
- Nobody takes over: if it is not defined when a customer goes to a person, complaints and special requests stay unanswered.
- Ignoring story replies: stories are one of the main reasons customers message, and a reply that ignores the story makes no sense.
- Forgetting the message-access setting: the tool looks broken when in fact it receives nothing.
Frequently asked questions
Can my business start a conversation on Instagram with someone who never messaged it?
No. Meta requires the Instagram user to message the professional account first; only then can the account, or a tool connected to it, reply.
Does automation work with a personal Instagram account?
No. The official messaging API works with professional accounts, and the account owner must allow connected tools to access messages in the app settings.
What happens if nobody answers the customer within 24 hours?
The standard window closes, so no automated reply is accepted until the customer writes again. Meta gives human staff a separate, longer window for manual replies only; that window is not available in Mujib, where the limit is 24 hours for the agent and your team alike.
Does an automated reply see the story the customer replied to?
A story reply arrives with a reference to the story, but do not assume every tool analyzes its image. The Mujib agent knows the message replies to your story and does not see the image, so put what you show in your stories in your knowledge.
Does the Mujib agent keep replying if I answer from the Instagram app?
Not in that conversation. Your reply from the Instagram app reaches Mujib and pauses the agent there only, so the two of you never answer the same customer.
