# AI receptionist for clinics: WhatsApp booking with Mujib

> An AI receptionist for clinics on WhatsApp: Mujib answers about services, prices and doctors, books each doctor's calendar, and hands medical questions over.

Mujib works as an AI receptionist for clinics: an agent that answers your patients at any hour, on WhatsApp, Messenger and Instagram. It answers questions about the clinic's services, prices, doctors and branches from your own information, and books each appointment on the right doctor's calendar. It never gives medical advice; medical questions go to your team.

It suits a dental, dermatology, cosmetic or general clinic alike. Your team stays in charge: every conversation is in **Inbox**, and every appointment is on **Calendar**.

## Is the agent suitable for a medical clinic?

Yes, for everything about the clinic and its bookings: services and prices, doctors and their days, branches and where they are, and booking, moving or cancelling appointments. Medicine itself is not its job.

- **No medical advice:** the agent does not diagnose, does not suggest a treatment or a medicine, and does not say a service suits a patient's health condition. Any question about a health condition goes to your team.
- **Sensitive cases reach your team before any reply:** when a patient mentions an emergency, pregnancy or breastfeeding, a chronic illness, an eating disorder, or the conversation is about a child, Mujib hands the conversation to your team before the agent writes anything, as long as handoff is on. In the no-handoff mode described at the end of this page, it gives no advice and suggests a consultation at the clinic instead.
- **Nothing from outside your knowledge:** it does not make up a price, a doctor's name or a time. What is not in your information, it says it does not know.

See [Human handoff](https://docs.mujib.ai/en/agent/human-handoff/) and [AI agent limits](https://docs.mujib.ai/en/agent/what-it-does-not-do/).

## How do I set Mujib up for my clinic, step by step?

Setting up a clinic takes seven steps, most of them done once:

1. **Business model:** in the [setup wizard](https://docs.mujib.ai/en/start/onboarding-wizard/), choose appointments as the way your clinic works. You can change it later in **Settings** → **Your business & modules** by choosing **Bookings and appointments**. This adds **Calendar** to the dashboard and lets the agent book.
2. **Branches and hours:** in **Branches**, press **Add branch**, write the address, then each day's hours on the **Hours** step. Add the nearby neighbourhoods of each branch in **Areas served** so the agent knows which branch is closest to a patient.
3. **Doctors:** on the **Numbers & staff** step, press **Add specialist** for each doctor. Then in **Settings** → **Team roster**, record each doctor's **Gender**, and their own hours when they differ from the branch's.
4. **Visit types:** in **Settings** → **Visit types**, name what patients book, such as "Consultation", "Follow-up" and "Dental cleaning", with the length of each.
5. **Booking settings:** in **Branches** → **Booking settings**, choose under **Required before confirming a booking** whether you need the patient's name and phone before confirming, and keep **Send the customer a WhatsApp reminder** on so patients get a reminder before their visit.
6. **Clinic knowledge:** in **Knowledge**, press **Add entry** and add your services and prices, your cancellation and lateness policy, and what a patient should know before a visit. Use the **Specialist** type to describe each doctor and their specialty.
7. **Alerts and channel:** in **Settings** → **Notifications**, set the **Notification WhatsApp number** so a WhatsApp alert reaches you with every handoff. Then link the clinic's number with [Connect WhatsApp](https://docs.mujib.ai/en/start/connect-whatsapp/).

Save each branch's hours before you switch the agent on: it never offers a time outside them. What happens before they are saved is in [Opening hours](https://docs.mujib.ai/en/bookings/branches-hours/), and how each visit's length is worked out is in [Visit types](https://docs.mujib.ai/en/bookings/visit-types/).

## What does the agent handle, and what goes to your team?

The agent takes the repeated questions and the bookings, and leaves your team everything that needs a medical opinion or a person's decision.

| Situation | What the agent does |
| --- | --- |
| A question about a service's price or length | Answers from the knowledge base, and quotes no price that is not written there |
| An appointment request | Asks for the branch and visit type, offers only times that are really free, then saves and confirms the appointment |
| A doctor by name, or a female doctor | Books with that doctor if they work at that branch, offering their times only |
| Moving or cancelling an appointment | Moves or cancels the patient's own appointment in the chat |
| Where a branch is | Sends the branch location |
| A question about a health condition or a treatment | Hands the conversation to your team |
| A complaint or an upset patient | Hands the conversation to your team |
| A question your knowledge does not answer | Says it does not have that information, and hands the conversation over |

When the agent hands a conversation over, it stops replying in that conversation only, and your team gets an alert to pick it up.

## How does a patient get the doctor they want?

The agent books with the doctor the patient names, with a female doctor if they ask for one, or with the doctor who usually sees them when they name nobody.

- **Returning patients:** booked with the doctor of their last visit at that branch, as long as the doctor still works there.
- **New patients:** if more than one doctor can take the visit, the agent asks once whether they want a particular doctor or anyone available.
- **Booking for a family member:** the appointment is saved under the name of the person coming, with their own doctor, not the doctor of whoever owns the number.

If the patient says anyone is fine, the appointment is saved without a doctor and shows under **Unassigned** until your team assigns one. See [Staff and specialists](https://docs.mujib.ai/en/bookings/staff/).

## What does reception see for each booking?

The appointment appears on **Calendar** as soon as it is saved, marked **Booked by the agent**, and an alert goes to the branch's WhatsApp number if you set one, plus a notification in the Mujib app for whoever turned it on.

- Reception books phone appointments with **New booking** on the same calendar, so their bookings never clash with the agent's.
- Your team records whether the patient came. See [Appointment attendance](https://docs.mujib.ai/en/bookings/attendance-stages/).
- Patients get a reminder before their appointment. Timing and conditions are in [Appointment reminders](https://docs.mujib.ai/en/bookings/reminders/).

## How do I add rules of my own clinic?

Write them in your own words in the agent's settings; the agent reads them with every message.

1. Open **Agent Studio** and press **Edit** on the agent's card.
2. In the **Handoff to your team** section, write your clinic's cases in **When it hands off to staff**, for example: "Hand off if the patient asks about a test result" or "Hand off if they want an urgent same-day appointment".
3. Optionally write the **Handoff message to the customer**, which the patient receives at the moment of handoff.
4. Press **Save**.

> **No-handoff mode in a clinic**
>
> The **No-handoff mode — the agent never hands off to staff** switch makes the agent finish every conversation itself. Even then it gives no medical advice and suggests a consultation at the clinic instead. But if you have a team that answers patients, keep handoff on, so a person handles the sensitive cases.

## Frequently asked questions

### Does the agent give patients medical advice?

No. It does not diagnose or prescribe, and it hands every question about a health condition to your team while handoff is on. Its job is clinic information and appointments.

### Does Mujib suit a clinic with one branch and one doctor?

Yes. You add one branch with its hours, and with no specialists added the branch takes one appointment at a time.

### Can a patient ask for a female doctor?

Yes, once you record your doctors' gender in the team roster. The agent then books with an available female doctor, or tells the patient which days one is in.

### Can patients move or cancel an appointment in the chat?

Yes. They ask in the same conversation, the agent moves or cancels their appointment, and a cancelled time becomes free again on the calendar.

### Does the agent know the clinic's prices?

Only what you write in the knowledge base. When a price is not there, it says it does not have that information instead of guessing.
