# WhatsApp auto reply types, from away messages to AI agents

> WhatsApp auto reply types compared - greeting and away messages, quick replies, keyword systems and AI agents. What each one does and how to choose.

There are five WhatsApp auto reply types: the greeting message, the away message, quick replies, rule-based auto-reply systems that work on keywords or menus, and AI agents that understand the question and answer it. They differ in what they understand and can do, and the right one depends on your message volume and how varied the questions are.

This article explains what each type does and does not do, based on WhatsApp's official help pages, and then helps you pick the one that fits your business without paying for more tool than you need, or less.

## What types of WhatsApp auto reply are there?

WhatsApp auto replies fall into three groups: fixed messages the app sends on its own, ready-made replies chosen by a person or by a keyword-matching system, and replies an AI agent writes for each question.

| Type | Who sends it | Does it read the question? | Good for |
| --- | --- | --- | --- |
| Greeting message | The WhatsApp Business app, automatically | No | Introducing your business on first contact |
| Away message | The WhatsApp Business app, automatically | No | Telling the customer you are closed |
| Quick replies | A person picks the reply and sends it | The person reads and chooses | Typing frequent answers faster |
| Keyword and menu systems | A rule-based system | It looks for a word or an option number | A few predictable questions |
| AI agent | An automated system that understands language | Yes, in any wording or dialect | Many varied questions, plus bookings and orders |

The real difference between these types is not speed, since all of them arrive instantly. It is **what the customer receives**: a general text that reassures them, or an answer to the question they actually asked.

## What do the greeting and away messages in WhatsApp Business do?

The greeting and away messages are two fixed texts that the WhatsApp Business app sends automatically, without reading what the customer wrote.

- **Greeting message:** the app sends it when a customer writes to you for the first time, and again when they come back after a long gap in the chat, as [WhatsApp's help page on greeting messages](https://faq.whatsapp.com/501866148528310/?locale=en_US) explains. You choose who gets it: everyone, people not in your contacts, or a list you pick.
- **Away message:** the app sends it always, on a custom schedule, or outside the business hours in your business profile, according to [WhatsApp's help page on away messages](https://faq.whatsapp.com/2565868990219715/?locale=en_US). The "outside of business hours" option only appears once you have set business hours in your profile.
- **One shared condition:** both pages say your phone must be connected to the internet for these messages to go out.

They are free, need almost no setup, and make sure no customer is left without any reply. Their limit is that the reply is the same for everyone: the person asking for a price, the one who wants an appointment and the one with a complaint all get the same text, and then wait for someone to read their message.

## How are quick replies different from automatic replies?

Quick replies are not automatic: they are saved texts that a person picks and sends.

In the WhatsApp Business app you save a frequent text with a shortcut, type `/` in a chat to see your quick replies, then pick one and edit it before sending, as [WhatsApp's help page on quick replies](https://faq.whatsapp.com/1791149784551042/?locale=en_US) describes. The app also suggests a few replies from your business profile, such as your address and hours.

Quick replies save typing and keep your team's wording consistent. They do not answer while your team is away, so your response time is still the time it takes someone to read the message.

## How do keyword and menu systems work?

Rule-based auto-reply systems match what the customer types against rules you wrote in advance: a given word triggers a given reply, or the customer picks from a numbered menu.

For example, if the customer types "price" the system sends the price list, if they type "location" it sends the address, and if it finds no word it knows, it sends the menu again.

- **They work well** when there are only a few predictable questions and customers phrase them the same way.
- **They stumble** when customers write in their own words, in dialect, by voice note, or with two questions in one message.
- **They need constant upkeep:** every new phrasing needs a new rule, and every change to your prices or hours means editing the replies by hand.
- **They often end with "sorry, I didn't understand, choose from the menu"**, which sends the customer back to the start without an answer.

The wider comparison between these systems and an AI agent is in [AI agent vs. rule-based auto-reply](https://docs.mujib.ai/en/reference/agent-vs-bot/).

## What does an AI agent add?

An AI agent reads the customer's message as it was written, works out what they mean, and writes an answer from your business information, and it can take an action such as booking an appointment.

- **It understands any phrasing,** including dialects, so the customer does not need a magic word or a menu number.
- **It answers the details:** the price of the service they asked about, the right branch, the next free time, not a general list.
- **It can act** when connected to your business systems: book, reschedule and take orders.
- **It needs correct, current information:** its answers are only as good as what you give it.
- **Its biggest risk is inventing an answer you don't have.** So ask of any tool you evaluate: what does the agent do when it cannot find the answer?

In Mujib, the agent answers only from the information you approved for your business, and when it cannot find the answer it hands the conversation to your team instead of guessing. You can start with [quick setup](https://docs.mujib.ai/en/start/quick-setup/) and teach it your business in the [knowledge base](https://docs.mujib.ai/en/agent/knowledge-base/).

## How do I choose the right auto reply for my business?

Answer three questions: how many messages you get, how varied the questions are, and whether the customer needs an action such as a booking or an order.

| Your situation | Best fit |
| --- | --- |
| Few messages, and a team that replies during working hours | An away message plus quick replies |
| A few questions repeated in the same words | A keyword system or a simple menu |
| Many varied questions, or messages at night and on holidays | An AI agent |
| Appointments or orders confirmed inside the chat | An AI agent connected to your calendar or product list |

One type does not have to replace another: your team can keep using quick replies in the chats they handle themselves and leave the rest to the agent.

## What are the common WhatsApp auto reply mistakes?

The most damaging mistake is leaving a customer in an automated loop that never reaches a person.

- **No way to reach a person:** for businesses on the official WhatsApp Business Platform, the [WhatsApp Business Messaging Policy](https://whatsappbusiness.com/policy/) allows automated responses but requires prompt, clear and direct escalation paths, such as transferring the chat to a human agent, and it is a sound rule for any automated reply. In Mujib the agent hands the conversation to your team and alerts you with the reason, as described in [human handoff](https://docs.mujib.ai/en/agent/human-handoff/).
- **Promises the system can't keep:** an automated reply quoting an old price or an expired offer is worse than a slow reply. Update your information whenever it changes.
- **Two contradicting messages:** if an agent answers around the clock, review the greeting and away messages in your app. Your phone still sends them as they are, so a customer may get "we are closed right now" and then a full answer from the agent.
- **Hiding that the reply is automated:** customers should know they are talking to an automated service. The [Messenger Platform policy](https://developers.facebook.com/documentation/business-messaging/messenger-platform/policy) requires this disclosure where the law requires it and recommends it everywhere else.
- **Never reviewing the setup:** read a sample of conversations every week, fix what the auto reply got wrong, and add what customers asked that had no answer.

A good auto reply is not measured by how many messages it sent, but by how many customers got an answer, or reached a person, without having to ask twice.

## Frequently asked questions

### Does an away message answer customers' questions?

No. An away message is one fixed text the WhatsApp Business app sends to everyone who writes during the hours you choose. It does not read the question or answer it.

### Are quick replies automatic replies?

No. Quick replies are saved texts that a person picks and sends. They save typing time, but they do not reply while your team is away.

### What is the difference between a keyword system and an AI agent?

A keyword system matches a word in the customer's message to a reply written in advance. An AI agent understands the question however it is phrased, writes the answer from your business information, and can book an appointment or hand the chat to your team.

### Will an AI agent make up answers I don't have?

That is the first thing to ask about any tool. The Mujib agent answers only from the information you approved for your business, and when it cannot find the answer it hands the conversation to your team instead of guessing.

### Should I keep my away message on once an agent answers around the clock?

Review it first. The WhatsApp app on your phone still sends it as it is, so a customer may get "we are closed right now" followed by a full answer from the agent.
